Time management & time registration
Basic data of PlanExpert:
Organisational entities:
/Various nursing entities, medical/technical and facility services can be defined as separate entities.
Employees:
/Are assigned to the various organisational entities. For each employee, a number of fixed items of data can be input, such as name, first name, address details, contract details, qualifications, leave entitlement, etc..
Moreover, it is possible to add user-defined fields.
Employee data can be added from a list or Excel file.
Shifts:
/Definition of various early, late, day and night shifts. Each shift can be allocated to a shift type, so that early shifts with different durations can be added together if required
Standby:
/Standby services can be defined separately but displayed together with ordinary shifts on the planning screen..
Reasons for absence like annual leave or sick leave.
In this case, it can be indicated when allocating an absence whether this should be done for the standard time or the shift time. For example, for a full-timer, the standard time is 7 hours and 36 minutes per day, and this is what is usually allocated for annual leave. For sick leave, on the other hand, it is usually the shift time that is allocated. That means that if the employee was supposed to work 9:00 hours on the night shift on a particular day, then sick leave will also apply for that period.
Cyclical rosters:
/These are fixed sequences of shifts that recur every few weeks. Cyclical rosters cn be used to follow fixed patterns as well as partial patterns: e.g. only to plan a sequence of weekends and/or night shifts. Using cyclical rosters is not compulsory to be able to work with PlanExpert.
Qualifications:
Here, the qualifications are defined, depending on the planning needs that are specified.
Work requirements (or manning requirements)
For each shift type or for each shift, it can be specified how many are needed. This can be for the whole department, as well as for a group of qualifications, e.g. 3 nurses on the early shift.
Parameters of Plan Expert:
The system can be configured to reflect the practices of the institution.
A few examples:
- leave in hours or days;
- holidays that are specific to the institution;
- planning period per 4 weeks or per month;
- definitions of special hours: day and night hours, Saturday, Sunday and public holiday hours;
- counters to tally the amount of annual leave and time off for a reduction in working hours, sick leave, etc.;
- statutory rules such as at least 11 hours between 2 attendances, 50-hour working week, number of days off after a night shift;
- layout of the planning screen: which counts, sequence of shifts, absences, employees;
- working methods on the planning screen: enter shifts, enter days, keyboard-input or not.

The user can choose which plan is easiest to work with, depending on the phase that the planning has reached, and the activities that are to be carried out.

Technical conditions
System requirements
PlanExpert does not impose any demanding requirements on hardware. If the system performance is sufficient to run Windows 2003, then it will more than meet the hardware requirements.
- Microsoft(R) Windows 98/2000/2003/XP/Vista;
- Pentium Processor with a minimum of 600 MHz or comparable;
- At least 128 MB RAM, 256 or more recommended;
- VGA graphics card with at least 16-bit colours and 800x600 resolution;
- available disk space of at least 100 MB;
- CD-ROM drive, mouse
Installation modes
- Server installation: programme and data on the server, link with the clients;
- Client/Server installation: data on the server, program on the clients;
- Single-PC installation: program + data on one PC;
- Installation on a terminal server;
- PlanExpert is entirely suited for a Terminal-Server installation.
If you work with a terminal server, you don't need to perform an installation on the local PC. The local PC is only used as a host for the terminal server session. In that case, you will not need (subsequent) updates either.
Microtime is intended for SMEs with 5 to 50 employees and uses either the Max2200 electronic punch clock or the discreet Microprox terminal for time registration and access control, whichever you prefer.
U-Time and UT-Web originated from the rich experience gained in medium-sized and large companies, condensed into a virtual multi-everything application where the user himself can enter parameters for managing his own time registration.
U-Time was developed for real-time solutions, suitable for large companies but profitable starting from about fifty employees. U-Time uses the Sentry terminals which can be equipped with 8 Picos slave terminals.
